Summary

As a Senior Pharmacy Technician specializing in Pharmacy Purchasing and IT Systems, you will play a critical role in ensuring the efficient procurement and supply of medicines within the Trust. This position demands a high level of technical expertise, excellent communication skills, and the ability to manage IT systems relevant to the pharmacy department.

Key Responsibilities

Communication

  • Respond to complex technical queries regarding drug availability, formulation, and supply.
  • Offer specialist advice on medicine procurement for the Trust.
  • Engage with healthcare professionals, pharmacy staff, wholesalers, and the public on various medicine-related issues.
  • Organize and conduct regular meetings to update senior staff on expenditure and usage.
  • Maintain effective working relationships with key departments to ensure efficient service provision.
  • Collaborate with IT leads and the Head of Pharmacy to develop and support the pharmacy department’s IT strategy.
  • Participate in Pharmacy Team Leaders meetings and provide feedback from management meetings.

Analytical Skills

  • Supply statistical and financial information around contracts and invoices as needed.
  • Assist in sourcing unlicensed drugs and ensure adherence to regional guidelines.
  • Support the preparation of technical purchasing specifications for unlicensed medicines.
  • Maintain and develop EDI and e-commerce systems for automated purchasing and invoicing.
  • Investigate unusual drug issues monthly and report findings as necessary.
  • Report on changes in prescribing practices and their impact on the drug budget.
  • Ensure the integrity of the pharmacy drug file across all relevant IT systems.

Planning and Organizing

  • Develop and organize the Trust’s pharmacy procurement service.
  • Resolve IT issues with the Trust IT team and external support help desks.
  • Implement IT projects, including system upgrades and new IT system installations.
  • Ensure IT Business Continuity Plans (BCPs) and disaster recovery protocols are in place and followed.
  • Complete end-of-month and end-of-year processes and reports timely.
  • Manage and maintain IT aspects of automated dispensing systems.
  • Support the Homecare service by monitoring KPIs, renewing SLAs, and completing relevant audits.

Physical Skills

  • Train staff on current and new pharmacy systems.
  • Attend relevant study days.
  • Sign for receipt of controlled drugs following local policies.

Responsibilities for Patient/Client Care

  • Provide specialist advice tailored to patient needs, consulting pharmacists when necessary.
  • Handle complaints related to drug procurement and service provision.
  • Record and disseminate information on drug defects and participate in incident response.

Policy and Service Development

  • Assist in the preparation, maintenance, and audit of policies and procedures related to pharmaceutical procurement and IT systems.
  • Support the implementation of the Trust Clinical Governance agenda within the pharmacy department.

Financial and Physical Resources

  • Ensure efficient, cost-effective pharmaceutical purchasing.
  • Develop and maintain a reporting mechanism for cost and volume information.
  • Act as an authorized signatory for medicine orders up to £5000.
  • Supervise the annual stock take of all medicines in Pharmacy Stores.

Human Resources

  • Support recruitment and management of pharmacy procurement and stores staff.
  • Undertake Personal Development Plans with staff and manage sickness absence.
  • Ensure appropriate training, induction, and development for purchasing department staff.
  • Ensure Health & Safety requirements are met in the purchasing area.
  • Maintain adequate staffing levels and manage annual leave and flexitime requests.

Information Resources

  • Provide accurate medicines management data and reports.
  • Address breaches in Security, Data Protection, or Trust IT policies promptly.

Research and Development

  • Manage receipt and documentation of clinical trial medication following GCP guidance.
